Executive House Manager & Family Assistant


Location: Russian Hill, San Francisco (94109)
Employment Type: Part-Time
Proposed Start Date: July 2026
Compensation: $45–50 per hour based on experience
Proposed Schedule: 15–20 hours per week, 3 weekdays (Monday–Friday) Flexibility for occasional project-based needs.


Requirements


  • Valid driver’s license and reliable transportation (option for mileage reimbursement for work related tasks)
  • Ability to maintain a smoke-free environment
  • Tech-savvy with strong administrative and organizational capability, Notion experience or ability to learn Notion a plus

About Our Family


We are a high-performing, dual-career couple living in a large home in Russian Hill, San Francisco. We are stepping into a full and exciting season of life together.


Our household includes two children (ages 10 and 13) who are with us 50% of the time, transitioning between homes multiple days per week. Our schedules are demanding, with long work hours, frequent travel, and a very active family and social life.


We currently have strong foundational support in place, including a nanny who manages afternoon care and activities, and cleaners who come twice a week (Mondays and Thursdays) handling general cleaning and laundry. These systems have helped significantly, but as our work and life continue to grow, so has the need for deeper, more consistent home management and organization.


We value health, routine, and a home that feels calm and supportive. We love to cook, travel, and spend quality time together, but the day-to-day operational demands of our home have made that increasingly difficult.


We are now looking for someone who can step in as a true partner in the home—bringing structure, follow-through, and ease to the many moving parts of our daily lives.

Who You Are


You are an experienced professional who takes pride in creating order, efficiency, and calm within a busy home. You are highly proactive—you see what needs to be done, take ownership without being asked, and follow through consistently.


You bring a warm, positive, and intentional energy. You are intuitive and emotionally intelligent, able to read the dynamics of a home and support without overstepping. You understand how to operate with discretion and respect in a private household.


You are equally comfortable working independently and collaborating when needed. This role is primarily autonomous (about 75% independent), with moments of alignment and planning with the family.


You are deeply organized and systems-oriented, especially when it comes to maintaining a home that looks beautiful aesthetically but also functions seamlessly behind the scenes. You are someone who enjoys creating systems that actually stick—turning clutter and incomplete projects into finished, sustainable solutions, and ultimately creating ease for the parents.


You are also aligned with a health-conscious lifestyle and understand the importance of thoughtful, consistent meal prep in a busy household.

Key Responsibilities


Household Management & Organization


• Create and maintain organization systems throughout the home (pantry, closets, storage)
• Reset and tidy spaces to maintain a consistently calm, functional environment
• Prepare and maintain the home between cleaner visits
• Lead and complete ongoing home organization projects that have been lingering
• Manage donation cycles and decluttering
• Maintain overall home flow, order, and readiness
• Support event, guest, and holiday preparation
• Assist with packing and unpacking for travel
• Perform light home maintenance tasks (batteries, light bulbs, etc.)


Meal Planning & Preparation


• Prepare fresh, healthy meals and snacks 2–3 times per week
• Focus on protein-forward, grab-and-go options, align with family preferences
• Support breakfast and light dinner preparation for family
• Grocery shop and maintain pantry and fridge inventory
• Accommodate dietary preferences (pescatarian, vegetarian, fresh whole foods)
• Maintain a clean and organized kitchen before and after meal prep


Inventory Management & Errands


• Track and restock household supplies (pantry, fridge, household essentials)
• Maintain running lists and systems for household needs
• Manage and place orders (Amazon, groceries, etc.)
• Run errands including returns, dry cleaning, and donation drop-offs
• Handle package management and box breakdown


Vendor & Property Oversight


• Support/oversee cleaners and ensure the home is prepared before and after service
• Coordinate vendors, repairs, and home maintenance needs
• Support upkeep of home spaces, including outdoor areas (roof deck)


Special Projects


• Lead and complete ongoing home organization projects that have been lingering, identify short term priority areas and long term plans and create action plans with parents to execute better household flow, organization, room to room.


Administrative & Household Support


• Create and maintain a modern family organization tool: Notion, Skylight, etc. to support coordination across household calendars (parents, children, activities)
• Help streamline logistics and communication systems and scheduling
• Support planning for events, guests, and home-related needs


Family Support & Light Child Assistance


•Provide occasional backup support if needed
•Assist with kid-related prep (snacks, organization, etc.)
