2FORM Architecture is an established, collaborative 6-person architecture firm based in Eugene, Oregon. We specialize in creating thoughtful, high-design sustainable spaces. Position Overview
We are seeking a highly organized, trustworthy, and detail-oriented Office Administrator to manage our studio logistics, financial tracking, and basic HR functions. This critical role bridges daily studio operations and long-term project financial health. The position is responsible for significant operational ownership.
The ideal candidate is a proactive problem-solver who loves building/maintaining clean systems, detail- oriented, , and is extremely comfortable learning or utilizing specialized project-accounting cloud platforms.
Salary Range: $22/hr - $26/hr
Key Responsibilities
• Financial & Project Invoicing: Manage weekly and monthly billing pipelines. Record employee time tracking data, generate client progress invoices, and track architectural project phases using Monograph, MS Excel and QuickBooks.
• **Studio Operations:**Maintain an organized, professional, and welcoming office environment. Monitor, procure, and organize office equipment, software licenses, dynamic material libraries, and general team supplies. Experience with Adobe Creative Suite is a plus.
• HR & Team Support: Facilitate basic HR support functions, including onboarding new team members, routing payroll documentation, maintaining confidential employee records, and helping orchestrate firm logistics.
• **Client & Vendor Interface:**Act as a warm, reliable point of contact for routine administrative inquiries, incoming mail, and basic facility vendor management.
Qualifications & Skills
• Experience: 2 years of professional experience in office administration, bookkeeping, and project coordination---ideally within an architecture, engineering, design, or similar professional services firm.
• Accounting Software: Strong working knowledge of QuickBooks is required. Experience managing accounts receivable or client billing workflows is highly preferred.
• Project Tracking Tech: Experience with Monograph (or similar industry project-accounting systems like Deltek, Harvest, or BQE Core) is a major plus, but a proven track record of mastering specialized cloud tools quickly is perfectly acceptable.
• Autonomy & Trust: Proven ability to manage a 20--25 hour weekly workflow independently, prioritize shifting administrative demands, and maintain absolute confidentiality regarding financial and HR data.
• **Communication:**Concise, professional written and verbal communication skills matching a design forward professional business environment.
