Household Manager and Family Assistant
Location: Westlake, Ohio 44145
Employment Type: Part-Time | 15-20 hours per week
Schedule:
- Flexible daytime schedule of three 6-hour shifts per week, between 8:30am and 5:30pm.
- Mondays and Fridays are preferred; the third day is flexible.
- Guaranteed minimum of 15 hours per week.
Compensation: $30-$35 per hour
Start Date: ASAP
Requirements
- Able to maintain a smoke-free environment.
- Must be authorized to work in the United States.
- Reliable personal transportation, valid driver's license, and clean driving record.
- Up to date on vaccinations, including Tdap and MMR. Annual flu vaccination preferred. Subject to applicable legal accommodations.
- Experience navigating celiac disease or food allergies strongly preferred.
- Comfortable working in a home with pets (two rescue dogs, one cat, and one fish).
About Our Family
We're a busy and warm family of four. Both parents work full-time in demanding operations and project management roles, which means our home runs best when someone is holding down the fort with care, initiative, and a sense of humor. Our two young kids (6 and 3) keep things lively, and our four pets (two dogs, one cat and a fish) add to the mix. We moved into a new home last fall and are still settling in. There's lots of energy here, and we're looking for someone who can roll with it.
Our household is active and full: swim lessons, gymnastics, Girl Scouts, and unpredictable work demands. The primary parent holds down the fort, managing everything from school logistics to meal prep, all while working a meetings-heavy remote schedule. We need someone who genuinely wants to lighten that load — not just check tasks off a list but actually think and execute alongside us.
We're an open-minded family who welcomes all kinds of people into our home. We want a long-term relationship built on trust, good communication, and mutual respect.
Who You Are / What We're Looking For
You are organized, proactive, and intuitive. You notice what needs to happen before being asked, and you take initiative without needing step-by-step direction. You're someone who can walk into a household, understand how it runs, respect the systems already in place (even the small ones), but also add your own smart ideas where they're welcome.
You're warm and friendly, but you also know how to maintain professional boundaries. You're comfortable around pets and children, and you're conscious of age-appropriate conversations in a home with young kids. You have the confidence, resourcefulness and genuine desire to become a trusted part of a household that truly values you.
Most importantly: you communicate clearly and consistently — about your schedule, your questions, and anything else that comes up.
Key Responsibilities
Meal Support
- Coordinate weekly meal planning around a Friday CSA farm share pickup: plan grocery orders based on the Sunday CSA preview email and fill in gaps via grocery delivery
- Prep ingredients and/or batch-cook two heat-ready meals per week plus leftovers
- Process produce (wash/chop) after CSA pickup to set the family up for the week
- Prepare school lunches and healthy snacks (fruits, veggies, etc.)
- Follow strict celiac/gluten-free protocols: dedicated cutting boards, utensils, and cookware; no cross-contamination; awareness of which items in the home contain gluten
- Maintain a clean and organized kitchen
Laundry & Linens
- Manage full family laundry: wash, fold, and put away for all family members
- Linen rotation and upkeep (bedding and towels)
- Keep laundry areas tidy and well-stocked
Household Organization & Maintenance
- Perform daily resets and light tidying (dishes, surfaces, high-traffic vacuuming, trash, toy pickup, etc.)
- Prep home ahead of the biweekly cleaner
- Complete seasonal swaps (clothing, bedding, decor)
- Support event and birthday planning as needed
- Coordinate donation drop-offs
- Help with packing and unpacking for travel
- Handle ad hoc household tasks (batteries, light bulbs, smoke detectors, etc.)
Inventory & Errands
- Restock pantry, fridge, and household supplies; manage running lists and Alexa shopping list
- Manage household orders (Amazon, Walmart Plus, subscriptions); ensure items are received and put away
- Miscellaneous errands as requested: returns, gift shopping, dry cleaning
- Open and unpack boxes and break them down/recycle
Deep Cleaning & Special Projects
- Rotate through occasional deep cleans: fridge, oven, baseboards
- Refresh and organize garage, mudroom, and entryway
- Tackle ongoing organizational projects throughout the home, including continuing to unpack from recent move
Family Support
- Serve as third-string backup for school and daycare pickups and drop-offs when needed
- Provide light backup childcare coverage on an as-needed basis
- Prep backpacks, clothing, snacks, and activity gear (e.g., clean leotard for gymnastics days)
Vehicle Upkeep
- Schedule and track family vehicle maintenance
- Assist with fueling, cleaning, and organizing vehicles
- Track registration and insurance reminders
Vendor & Property Oversight
- Research, coordinate, and oversee one-off vendor needs (plumbing, electrical, etc.); scope and manage as needed
- Handle seasonal outdoor maintenance: shovel front walkway, sweep back deck and patio, etc.
Administrative & Personal Assistant Support
- Assist with travel logistics and transportation booking on an ad hoc basis
- Support calendar management across Skylight and iPhone calendars
- Coordinate appointments and event scheduling as needed
